{"id":17788,"date":"2021-06-28T04:07:28","date_gmt":"2021-06-28T04:07:28","guid":{"rendered":"https:\/\/www.sandbox.backupassist.com\/blog\/?p=17788"},"modified":"2021-06-30T01:56:38","modified_gmt":"2021-06-30T01:56:38","slug":"backup-windows-for-microsoft-365-what-are-they-and-why-are-they-useful","status":"publish","type":"post","link":"https:\/\/www.sandbox.backupassist.com\/blog\/backup-windows-for-microsoft-365-what-are-they-and-why-are-they-useful","title":{"rendered":"Backup windows for Microsoft 365 \u2013 what are they and why are they useful?"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\">TL;DR&nbsp;summary&nbsp;<\/h2>\n\n\n\n<ol class=\"wp-block-list\"><li>BackupAssist 365 gives you the option of running backups during a given \u201cwindow\u201d of time \u2013 for example, starting at 6pm, and running through to 8:45am the next day.&nbsp;<\/li><\/ol>\n\n\n\n<ol class=\"wp-block-list\" start=\"2\"><li>There are two reasons this is useful:&nbsp;<ul><li>If you&nbsp;need to guarantee that&nbsp;the backups do not&nbsp;affect the performance of your internet connection during the day.&nbsp;<\/li><li>To be a good neighbor to other tenants in Microsoft 365&nbsp;and avoid throttling.&nbsp;<\/li><\/ul><\/li><\/ol>\n\n\n\n<ol class=\"wp-block-list\" start=\"3\"><li>Throttling&nbsp;is&nbsp;where Microsoft\u2019s cloud service will either slow down or limit the number of data requests when their servers are heavily loaded.&nbsp;&nbsp;<\/li><\/ol>\n\n\n\n<ol class=\"wp-block-list\" start=\"4\"><li>BackupAssist 365 deals with throttling gracefully. Therefore, even if you get throttled, it should not be a problem.\u00a0However, in very rare cases, Microsoft may\u00a0repeatedly\u00a0throttle\u00a0and deny service completely, and a backup window can help.\u00a0<\/li><\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">What is a backup window, and how do I set it up in BackupAssist 365?&nbsp;<\/h2>\n\n\n\n<p>A backup window is a specific&nbsp;period of time&nbsp;where backups are allowed to run. It is&nbsp;normally a period overnight,&nbsp;when&nbsp;things are quiet.&nbsp;<\/p>\n\n\n\n<p>In&nbsp;BackupAssist&nbsp;365, you can&nbsp;easily&nbsp;implement a backup window by choosing to stop the backup if it does not finish by a particular time.&nbsp;&nbsp;<\/p>\n\n\n\n<p>In the example below, the backup window is from 6:00pm to 8:45am:&nbsp;<\/p>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter size-large\"><a href=\"https:\/\/www.sandbox.backupassist.com\/app\/uploads\/sites\/3\/2021\/06\/image.png\"><img loading=\"lazy\" decoding=\"async\" width=\"710\" height=\"386\" src=\"https:\/\/www.sandbox.backupassist.com\/app\/uploads\/sites\/3\/2021\/06\/image.png\" alt=\"\" class=\"wp-image-17790\" style=\"border:1px solid #c9cbcd;\" srcset=\"https:\/\/www.sandbox.backupassist.com\/app\/uploads\/sites\/3\/2021\/06\/image.png 710w, https:\/\/www.sandbox.backupassist.com\/app\/uploads\/sites\/3\/2021\/06\/image-300x163.png 300w\" sizes=\"auto, (max-width: 710px) 100vw, 710px\" \/><\/a><\/figure><\/div>\n\n\n\n<p>There is&nbsp;no problem with stopping a backup prematurely&nbsp;because the next backup will pick up the data that was not&nbsp;backed up on previous runs.&nbsp;<\/p>\n\n\n\n<p>You will see a warning in the backup report that says the backup&nbsp;task has been stopped. This warning lets you&nbsp;know that the backup was incomplete.&nbsp;<\/p>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter size-large\"><a href=\"https:\/\/www.sandbox.backupassist.com\/app\/uploads\/sites\/3\/2021\/06\/image-1.png\"><img loading=\"lazy\" decoding=\"async\" width=\"432\" height=\"80\" src=\"https:\/\/www.sandbox.backupassist.com\/app\/uploads\/sites\/3\/2021\/06\/image-1.png\" alt=\"\" class=\"wp-image-17791\" style=\"border:1px solid #c9cbcd;\" srcset=\"https:\/\/www.sandbox.backupassist.com\/app\/uploads\/sites\/3\/2021\/06\/image-1.png 432w, https:\/\/www.sandbox.backupassist.com\/app\/uploads\/sites\/3\/2021\/06\/image-1-300x56.png 300w\" sizes=\"auto, (max-width: 432px) 100vw, 432px\" \/><\/a><\/figure><\/div>\n\n\n\n<p>You will&nbsp;most often&nbsp;see&nbsp;this&nbsp;warning&nbsp;on your first full backup, which may take several nights to complete. After the first full backup is complete, you will&nbsp;rarely encounter this&nbsp;warning&nbsp;again.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">When&nbsp;is a backup window useful?&nbsp;<\/h2>\n\n\n\n<p>Most of the time, using a backup window will not&nbsp;be necessary because your nightly&nbsp;incremental&nbsp;backups of Microsoft 365 will complete well before the close of the&nbsp;window.&nbsp;<\/p>\n\n\n\n<p>There are two cases where a backup&nbsp;may&nbsp;take&nbsp;longer:&nbsp;<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Your first full backup, where a large amount of data is downloaded.&nbsp;<\/li><\/ol>\n\n\n\n<ol class=\"wp-block-list\" start=\"2\"><li>If there are many large-scale&nbsp;changes in your tenant, thereby causing a large incremental backup.&nbsp;<\/li><\/ol>\n\n\n\n<p>You may choose to implement a backup window for one of two reasons:&nbsp;<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>To ensure your internet connection performance is not&nbsp;degraded during the&nbsp;workday.&nbsp;&nbsp;<\/li><\/ol>\n\n\n\n<ol class=\"wp-block-list\" start=\"2\"><li>In the unlikely event that your backups get throttled and that in turn repeatedly causes mailboxes or files to be skipped. Although BackupAssist 365 deals with throttling gracefully,&nbsp;in rare occasions we have&nbsp;seen Microsoft completely deny service during regular business hours.&nbsp;<\/li><\/ol>\n\n\n\n<p>In general, internet degradation is\u00a0uncommon\u00a0because BackupAssist 365 itself rarely saturates the download capacity of an internet connection.\u00a0\u00a0<\/p>\n\n\n\n<p>If your tenant has regular user data (most Office documents for instance are 10MB in size or less), saturation is&nbsp;rare&nbsp;because&nbsp;BackupAssist&nbsp;365 can only download a maximum of 2 files per second (see our description of throttling&nbsp;below&nbsp;for an explanation why).&nbsp;<\/p>\n\n\n\n<p>The only time a connection might be saturated is&nbsp;on downloads of large files. For instance, if your tenant has thousands of 100MB files, you can expect your internet connection to be saturated during that download.&nbsp;<\/p>\n\n\n\n<p>A backup window is useful in such cases.&nbsp;<\/p>\n\n\n\n<p>The second reason to use a backup window is to work around rare cases where Microsoft denies service altogether due to throttling.&nbsp;But&nbsp;in order to&nbsp;explain&nbsp;that, we will&nbsp;need to explain what throttling is first.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Throttling \u2013 what is it, and why does Microsoft do it?&nbsp;<\/h2>\n\n\n\n<p>We have&nbsp;all heard of a \u201cbad neighbor\u201d \u2013&nbsp;for example, a household that holds&nbsp;a lot&nbsp;of late-night&nbsp;parties, blaring loud music late into the night, with guests taking all available street parking and leaving litter everywhere they go.&nbsp;<\/p>\n\n\n\n<p>With Microsoft 365 and Office 365, a bad neighbor might be a user that issues high numbers of requests, thereby loading Microsoft\u2019s servers&nbsp;and slowing down their service for everyone else. While this is not an actual denial of service attack, Microsoft do view such action in a negative light.&nbsp;<\/p>\n\n\n\n<p>Backups are one type of operation that issues high numbers of requests. Therefore, backup applications such as BackupAssist 365 are designed to play friendly with Microsoft 365.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What does Microsoft do when&nbsp;throttling?&nbsp;<\/h2>\n\n\n\n<p>If Microsoft detects that its server load is too high, it&nbsp;will&nbsp;deny requests. For instance, if you request a particular file from SharePoint, instead of returning the file, it may return a \u201c429 Too Many Requests\u201d response, asking your application to retry after a certain time (for example,&nbsp;2 minutes).&nbsp;<\/p>\n\n\n\n<p>When it comes to accessing mailboxes,&nbsp;Microsoft is less friendly, and instead returns random failure messages. This may include blatantly incorrect messages, such as \u201cMailbox does not exist\u201d, even though just a second ago, an email from that mailbox was just downloaded.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Examples of incorrect failure messages<\/h3>\n\n\n\n<div style=\"background:#d1dff1;color:#282561;padding:20px 20px 10px 20px;\">\n <ul>\n  <li>The specified object was not found in the store. The process failed to get the correct properties.&nbsp;<\/li>\n  <li>The mailbox database is temporarily unavailable. Cannot query rows in a table.&nbsp;<\/li>\n  <li>The\u202fmailbox\u202fdatabase\u202fis\u202ftemporarily\u202funavailable.\u202fCannot\u202fopen\u202fmailbox.&nbsp;<\/li><li>Access\u202fis\u202fdenied.\u202fCheck\u202fcredentials\u202fand\u202ftry\u202fagain.\u202fThe\u202fprocess\u202ffailed\u202fto\u202fget\u202fthe\u202fcorrect properties.&nbsp;<\/li><li>Mailbox does not&nbsp;exist.&nbsp;<\/li><\/ul><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">How BackupAssist 365 handles throttling&nbsp;gracefully&nbsp;<\/h2>\n\n\n\n<p>Microsoft&nbsp;publishes&nbsp;a number of&nbsp;developer-level guidelines, which BackupAssist 365 adheres to.&nbsp;This includes limiting the number of data requests made in any given time period, and obeying server requests such as occasionally pausing and retrying after the specified period.&nbsp;<\/p>\n\n\n\n<p>Another example of this is BackupAssist 365\u2019s rate limiting \u2013&nbsp;you will&nbsp;see that file downloads proceed at a maximum rate of 1 file per every 0.5 second.&nbsp;<\/p>\n\n\n\n<p>If BackupAssist 365 runs into throttling, it will retry accessing your data&nbsp;up to a maximum number of retries. When we detect that no&nbsp;additional&nbsp;data can be backed up, a message like one of these shown below will appear in your backup report:<\/p>\n\n\n\n<h5 style=\"background:#f2f2f2;padding:20px;color:#282561;\">One or more mailboxes are throttled and skipped on this backup. The backup will&nbsp;continue on&nbsp;the next run.&nbsp;<\/h5>\n\n\n\n<h5 style=\"background:#f2f2f2;padding:20px;color:#282561;\">John.Citizen@domain.com: Unable to connect to mailbox. There may be a permissions problem, or the mailbox is throttled.&nbsp;<\/h5>\n\n\n\n<p>These messages are nothing to worry about because the next backup will pick up the remaining data.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Will users notice any service degradation when a backup&nbsp;runs?&nbsp;<\/h2>\n\n\n\n<p>If you follow our <a href=\"https:\/\/www.backupassist.com\/365\/guides\" target=\"_blank\" rel=\"noreferrer noopener\">best practice solutions<\/a> on creating a dedicated Backup User logon for doing backups, then the answer is \u201cno\u201d.\u00a0That is to say, throttling\u00a0is isolated to the backup user login, not real users.\u00a0<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Where can a backup window help?<\/h2>\n\n\n\n<p>In rare situations,&nbsp;we have&nbsp;seen Microsoft completely deny service to access data during the&nbsp;workday&nbsp;\u2013 despite following Microsoft\u2019s guidelines.&nbsp;When we say rare, we estimate this being less than 1 in 100,000 times.&nbsp;&nbsp;<\/p>\n\n\n\n<p>If this happens, it means that day after day, a particular folder or item will be skipped.&nbsp;<\/p>\n\n\n\n<p>Microsoft does not specify the reason for this, but we believe that it happens when there are many users (possibly including \u201cbad neighbors\u201d) accessing server resources at the same time, and Microsoft\u2019s servers are simply overloaded.&nbsp;<\/p>\n\n\n\n<p>Implementing a backup window can help.&nbsp;By only performing backups outside of work hours, it means that the total number of requests made by your tenant&nbsp;remains&nbsp;low, and&nbsp;you are&nbsp;always being a \u201cgood neighbor\u201d in Microsoft\u2019s neighborhood.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Conclusion&nbsp;<\/h2>\n\n\n\n<p>Backup windows are easy to implement, and can be useful to prevent backups from running during the&nbsp;workday. &nbsp;&nbsp;<\/p>\n","protected":false},"excerpt":{"rendered":"<p>A \u201cbackup window\u201d is a specified window of time during which BackupAssist 365 will perform backups of Microsoft 365.
